1. Scope
This Privacy Policy applies to ascentwellsystems.com, the AscentWell client workspace, the Clarity Report process, and related communications. It does not govern the independent privacy practices of third-party services you choose to access through our website.
2. Information we collect
We collect information that you provide directly and limited technical information needed to operate and protect the service.
- Profile and contact information, including your name, business name, email address, phone number, role, website, industry, and communication preference.
- Engagement information, including business goals, challenges, preparation answers, notes, scheduling details, and materials you choose to provide for a Clarity Report or other service.
- Transaction records, such as payment status, transaction identifiers, and the service purchased. Stripe processes payment-card information; AscentWell does not receive or store your complete card number.
- Authentication and technical information required for secure access, fraud prevention, troubleshooting, and basic site operation, including session information, timestamps, and service logs.
- Communications you send to us by email, phone, video meeting, forms, or the client workspace.
3. How we use information
- Create and secure your client profile and workspace.
- Process purchases, verify access, schedule conversations, and deliver the services you request.
- Prepare, review, and improve your Clarity Report and any agreed business system work.
- Communicate about your engagement, respond to questions, and provide important service notices.
- Protect AscentWell, our clients, and our systems from misuse, fraud, or security threats.
- Maintain business, tax, compliance, and dispute records when reasonably necessary.
4. Human-led, AI-assisted work
AscentWell may use artificial intelligence and other technology tools to organize information, identify patterns, support research, or assist with drafting. These tools support our work; they do not replace the human conversations, professional judgment, or final review that shape your engagement.
Please do not submit passwords, complete payment-card numbers, government identification numbers, personal tax records, protected health information, or other highly sensitive information unless AscentWell specifically requests it through an agreed secure process.
5. When information is shared
We share information only when reasonably necessary to operate the service, complete your engagement, protect legal rights, or follow the law. Service providers may include hosting and database providers, Stripe for payments, Calendly for scheduling, Resend for email delivery, Google or Zoom for meetings, and technology or AI providers used to support the engagement.
We do not sell personal information, rent client lists, or share personal information for cross-context behavioral advertising.
6. Retention and security
We retain information only for as long as reasonably necessary for the purpose described. When AscentWell records an engagement complete, supporting uploads are ordinarily scheduled for deletion within 30 days and detailed questionnaires, working notes, and similar engagement material are ordinarily scheduled for deletion or minimization within 90 days.
A continued engagement, client request, security or fraud review, dispute, legal hold, insurance need, or legal obligation may require a longer period. Minimal records of agreements, policy acceptance, payment identifiers, invoices, service delivery, tax and accounting activity, and the retention action itself may be kept longer when reasonably needed for business or legal purposes. Backup copies may remain until ordinary backup rotation is complete and are not used for routine operations.
We use administrative, technical, and organizational safeguards designed to protect client information. No method of transmission or storage is completely secure, so we cannot promise absolute security.
7. Your choices
You may update many profile details inside your client workspace. You may also contact us to request access, correction, or deletion of your personal information. Some information may be retained where needed to complete an engagement, maintain transaction or legal records, prevent fraud, or comply with law.
Service and security messages are necessary for your account. Marketing messages, when offered, will include a way to unsubscribe.
8. Essential storage and third-party links
The website and client workspace use essential browser storage and authentication tokens to keep you signed in and maintain secure access. We do not currently use advertising cookies. Links to third-party websites are governed by those providers' own terms and privacy policies.
9. Age limitation
AscentWell services and client accounts are intended only for adults who are at least 18 years old and are acting for a business or organization. We do not knowingly create client accounts for, or collect client-profile information from, anyone under 18.
10. Changes and contact
We may update this policy as the service evolves. The effective date shown on this page identifies the current version. Material changes will be presented through the website, client workspace, or direct communication when appropriate.
Privacy questions or requests may be sent to contact@ascentwellsystems.com.
